Use Web Shrink: Start from the browser. It estimates the likely result while your deck uploads; actual compression happens on ShrinkNote’s server only after you authorize it by email or payment. Upload a Keynote deck.
You can reduce a Keynote presentation without opening Terminal, installing a script, or flattening the entire deck into a PDF. The tools you need are already on a Mac: Finder, Keynote, Preview, and QuickTime Player.
The catch is that a good result is not one magic checkbox. Keynote files are usually large because they contain oversized photos, inefficient image formats, high-resolution video, trimmed media that is still stored, or objects that are hidden behind other objects. The best manual workflow is therefore:
- protect the original;
- test Keynote’s coarse automatic reducer on a copy;
- resize and convert the few media files that are still too large;
- replace those files without rebuilding the slide;
- check the finished deck on the display where it will actually be shown.
This guide is deliberately conservative about quality. A small photograph, a full-slide photograph, a logo, and a screenshot do not need the same dimensions or compression setting.
What current advice gets right—and what has changed
We compared Apple’s current Keynote, Preview, and QuickTime Player documentation with walkthroughs from MacMost, Macworld, iDownloadBlog, Apple Community discussions, and Keynote users who found that the built-in reduction was not enough.
The useful advice still converges on the same sequence: duplicate the deck, use Reduce File Size, and optimize the original media before placing it back into Keynote. But many older tutorials now show obsolete menu paths such as File → Advanced → Reduce File Size. In current Keynote, the command is simply File → Reduce File Size.
There is another important correction to common advice: do not convert every image to JPEG, and do not resize every image to 1,920 × 1,080. Efficient HEIC conversion alone can produce a large saving for photographs, sometimes without changing their pixel dimensions at all. When resizing is useful, the target should depend on the image’s largest placement in the presentation.
Before you touch the deck
1. Duplicate the presentation in Finder
- Close the presentation if it is open.
- In Finder, select the
.keyfile. - Choose File → Duplicate, or Control-click it and choose Duplicate.
- Rename the copy so it is unmistakable—for example,
Annual Report - SMALLER.key. - Work only on the copy.
Keynote’s media reduction can discard cropped pixels and trimmed movie or audio sections. Those changes are useful, but they may not be reversible in the reduced copy.
2. Record the starting size
- Select the original presentation in Finder.
- Choose File → Get Info.
- Write down the size shown in the General section.
- Repeat this after each major pass.
This prevents a common mistake: assuming a change helped because the deck “feels” faster. It also catches a setting combination that makes the file larger—something Apple explicitly says can happen.
3. Decide how the presentation will be delivered
Before reducing anything, answer three questions:
- Will it be presented at 1080p, 4K, or on an unknown projector?
- Will viewers zoom into detailed maps, diagrams, or photographs?
- Must it work on older Apple devices or non-Apple presentation systems?
A deck that will only fill a 1,920 Ă— 1,080 display can usually use smaller media than a 4K installation or a document meant for close inspection. Compatibility also determines whether HEIC and HEVC are appropriate.
Pass 1: Use Keynote’s built-in file reducer
Treat this as a quick experiment, not a trusted optimization policy. It is easy to run, but it can be a poor bargain: visibly softer images in exchange for a surprisingly modest reduction in the complete deck.
- Open the duplicate in Keynote.
- Choose File → Reduce File Size.
- Read the estimated current and reduced sizes at the top of the dialog.
- Choose the options below according to the deck.
Why “Reduce File Size” can disappoint
The dialog estimates bytes, not visual quality. Its automatic decisions can therefore soften important images even when the total presentation barely gets smaller.
That poor trade is common when the deck’s real weight is concentrated in a few videos or other large assets that the image pass does not optimize enough, when many images are already efficiently encoded, or when a conversion adds almost as much data as scaling removes. Apple even warns that some option combinations can make the presentation larger.
Meaningful optimization necessarily removes data from the optimized output. Both Keynote’s reducer and ShrinkNote may discard trimmed media or downsample surplus image pixels in the smaller deck. That trade-off is not the safety problem; overwriting the working original would be. Choose Reduce a Copy in Keynote. ShrinkNote likewise creates a separate optimized deck without modifying your original Keynote file. Keep that original whenever you may want to recrop, retrim, or reuse its media later.
For those reasons, always use Reduce a Copy, measure the actual saving, and inspect the most demanding slides at normal presentation size and at 100%. If the saving is small or the degradation is visible, discard that copy. Optimize the few heavy assets manually instead.
Scale down and convert images
Enable Scale down and convert images when the slide layout is essentially final. Keynote scales oversized images toward the resolution actually used in the presentation and may convert some formats.
Leave it off for now if you expect to enlarge, recrop, or reuse those images later. A masked photograph may still contain useful pixels outside the visible crop, and reduction can remove that editing headroom.
Remove trimmed parts of movies and audio
Enable Remove trimmed parts of movies and audio only when the trims are final. This deletes the hidden beginning or end of a clip rather than merely hiding it.
This can be a substantial saving for a long recording from which only a short excerpt is played.
Choose the movie format
- Choose High efficiency (HEVC) for the smallest file at high quality when the playback devices support modern Apple media formats.
- Choose Most compatible (H.264) when the deck must play on older hardware or a broader range of systems.
- Choose Preserve original format when conversion could break a special format you need.
Do not choose H.264 for a movie with transparency. Apple warns that H.264 does not support an alpha channel, so transparent areas become black.
Choose Movie Quality
Set Movie Quality to the largest resolution the presentation genuinely needs:
- 1080p is a sensible ceiling for a conventional 1080p presentation.
- 4K is justified when the presentation is actually shown in 4K or viewers need the detail.
- A video occupying a small region of a slide may look fine at a lower resolution.
Keynote will not enlarge a movie that is already below the chosen maximum.
Always reduce a copy
Click Reduce a Copy, give it a new name, and save it. Do not click Reduce This File unless you intentionally want to alter the working copy in place.
Open the new file, play a few media-heavy slides, and check its size in Finder. If the result is already small enough and still looks good, stop. Every additional lossy conversion has a cost.
Pass 2: Find the media worth fixing manually
Do not process every object blindly. Start with the likely offenders.
Use Keynote’s object list
- In Keynote, choose View → Show Object List.
- Select one or more slides in the slide navigator.
- Click the Filter button at the bottom of the object list.
- Show Images and Movies.
- Inspect objects that are behind other objects, locked, grouped, or otherwise hard to select.
Apple recommends the object list for selecting objects that are difficult to reach on the slide. Delete an object only when you are certain it is unused. Also review skipped slides and alternate slides you no longer intend to deliver.
Prioritize in this order
- Long 4K or ProRes movies.
- Full-resolution camera photographs.
- Large PNG or TIFF photographs.
- Repeated image variants.
- Long audio files.
- Small logos and ordinary screenshots last.
A single movie can outweigh the rest of the presentation. Ten large photos are usually worth more attention than a hundred small icons.
Pass 3: Calculate a sensible image size
The goal is not “make every image 1080p.” The goal is “give this image enough pixels for its largest visible use.”
Note the slide dimensions
- Click Document in the Keynote toolbar.
- Open the Document tab.
- Read the dimensions under Slide Size.
- If necessary, choose Custom Slide Size to see or set explicit dimensions—but do not change the deck’s slide size merely to compress it.
Note the image’s placement
- Select an image.
- Click Format in the toolbar.
- Open the Arrange tab.
- Read its Width and Height under Size.
Now compare the object with the slide. If an image occupies half the slide’s width, it needs roughly half the output display’s pixel width. For a 1,920-pixel-wide presentation:
- full-width photo: about 1,920 pixels, plus modest headroom;
- half-width photo: about 960 pixels, plus headroom;
- quarter-width thumbnail: about 480 pixels, plus headroom.
Keeping about 1.25Ă— to 1.5Ă— headroom is reasonable when the image may be animated, slightly enlarged, or viewed on a higher-density display. Keep more for maps, fine diagrams, and anything the audience must inspect. There is little benefit in turning a 6,000-pixel photo into a 1,000-pixel image if it later fills a 4K screen.
If the same source appears several times, size it for its largest placement.
Pass 4: Resize and convert photographs in Preview
Whenever possible, work from the original image file in Finder. Copying an image out of Keynote with Edit → Copy and opening File → New from Clipboard in Preview is convenient, but some Keynote versions may place only a rendered slide-sized copy on the clipboard. If you must use this method, check the resulting pixel dimensions before relying on it.
Make a working copy
- In Finder, select the source image.
- Choose File → Duplicate.
- Rename the duplicate with a suffix such as
-keynote. - Open the duplicate in Preview.
Inspect the image
- In Preview, choose Tools → Show Inspector.
- Note the pixel dimensions and color profile.
- Zoom to Actual Size to inspect fine texture, text, hair, foliage, and gradients.
Resize only when the dimensions are excessive
- Choose Tools → Adjust Size.
- Change the unit to pixels.
- Keep Scale proportionally enabled.
- Enable Resample image. Without resampling, changing resolution metadata does not remove pixels.
- Enter the target width or height you calculated from the image’s placement.
- Confirm the resulting size, then click OK.
Preview can resize several images together: open them in one Preview window, select the thumbnails in the sidebar, then use Tools → Adjust Size. Batch only images that truly need the same target dimensions.
Convert a photo to HEIC before lowering quality aggressively
For a photographic PNG, TIFF, or large JPEG, try format efficiency first:
- Choose File → Export.
- Set Format to HEIC.
- Move the Quality slider close to Best.
- Save with a new name.
- Compare its Finder size with the source.
This simple conversion can deliver a large saving without reducing pixel dimensions. It is often a better first experiment than making the image smaller or dragging a JPEG quality slider far toward “Least.”
If the presentation must work on systems that do not support HEIC, export a JPEG instead and begin near the high-quality end of the slider. Lower the quality only after comparing the result.
Do not use one format for every image

Preview’s current export dialog supports HEIC, JPEG, PNG, TIFF, and other formats. JPEG and JPEG-2000 expose a quality control.
Check color and detail before replacing the image
Open the original and the exported copy side by side in Preview:
- View both at normal slide size.
- View both at 100%.
- Check saturated brand colors, skin tones, gradients, dark shadows, and bright highlights.
- Check leaves, hair, fabric, text, and diagonal edges for smearing or halos.
- If color changes, stop and try another format or return to the original.
- If texture looks waxy or blocky, raise quality before reducing dimensions further.
Do not judge a slide only at 400% zoom, but do use 100% inspection to catch damage that will become visible on a large display. The normal presentation view remains the final test.
Pass 5: Put the optimized image back without rebuilding the slide
Keynote can replace an image while keeping its object dimensions:
- Select the old image.
- Open the Image tab in the Format sidebar.
- Click Replace.
- Choose the optimized image and double-click it.
- Double-click the image on the slide and check its mask or crop.
Apple confirms that Replace retains the original object’s dimensions. Still verify the crop, animation, border, shadow, and any image adjustment. A replacement with a different aspect ratio may need reframing.
Repeat this only for the images that materially affect the file size. Save, close, and reopen the deck periodically so you are testing the stored presentation rather than only the current editing session.
Pass 6: Re-encode oversized video in QuickTime Player
Use the original movie file whenever possible.
- Duplicate the movie in Finder.
- Open the duplicate in QuickTime Player.
- Choose File → Export As.
- Choose 1080p for a conventional presentation, or 4K only when the display and content justify it.
- At 1080p or 4K, open the Format menu:
- choose Smaller File Size for HEVC;
- choose Greater Compatibility for H.264.
- Give the export a new name and click Save.
- Choose Window → Show Export Progress if you want to monitor it.
Apple’s current QuickTime guide says 1080p and 4K exports can use HEVC or H.264; 720p and 480p use H.264. QuickTime exports a .mov, not an .mp4.
For a movie with an alpha channel, use the HEVC transparency option when available and test it in Keynote. For HDR, captions, multiple audio tracks, or unusual frame rates, keep the source until you have verified the complete export.
Replace the movie in the slide, then verify:
- playback from beginning to end;
- start and end trims;
- poster frame;
- builds and transitions;
- transparency;
- color and HDR appearance;
- audio synchronization and volume.
Pass 7: Handle audio and cropped media
Keynote’s built-in reduction is the best native GUI route for most audio:
- Select the audio or movie.
- In the Format sidebar, open the Audio or Movie tab.
- Set the start and end points you actually need.
- After all trims are final, run File → Reduce File Size again.
- Enable Remove trimmed parts of movies and audio.
- Save another reduced copy.
Do not remove trimmed regions from the only editable master. Do not flatten stereo music or accessibility tracks merely to save a small amount without listening to the result.
Pass 8: Do the final Keynote reduction
After replacing the heaviest images and movies:
- Save the presentation.
- Choose File → Reduce File Size again.
- Review the new estimate.
- Enable image scaling only if the layout is now final.
- Remove trimmed media only if the edits are final.
- Choose the required video compatibility.
- Click Reduce a Copy.
This final pass removes editing residue left around the newly optimized media.
Quality-control checklist
Open the final copy and check it as a presentation, not merely as a file:
- Start the slideshow and inspect every image-heavy slide at normal viewing size.
- Check logos, screenshots, diagrams, Korean or other fine text, and saturated brand colors.
- Play every video and audio clip.
- Test animations, Magic Move, masks, shadows, and transparency.
- Confirm that no hidden object or skipped slide was deleted accidentally.
- Close and reopen the presentation.
- If recipients need only a static document, also choose File → Export To → PDF and inspect the PDF—but keep the
.keyfile for animation and editing. - In Finder, choose File → Get Info and compare the final size with the original.
If one image looks meaningfully worse, restore that one source. A deck does not need every asset compressed to the same degree.
Mistakes that create bad results
- Overwriting the master presentation.
- Applying a single pixel target to every image.
- Converting screenshots or logos to low-quality JPEG.
- Lowering JPEG quality before testing a high-quality HEIC conversion.
- Copying an image from Keynote without checking whether the clipboard version was downsampled.
- Removing crop or trim data before the design is final.
- Assuming a small object on a slide contains a small source file.
- Using H.264 for transparent video.
- Comparing only file sizes and not colors, edges, texture, playback, and transparency.
- Recompressing an already-small asset that produces no meaningful saving.
A compact manual recipe
If you want the whole process in twelve clicks-and-checks:
- Duplicate the deck in Finder.
- Record its size with Get Info.
- In Keynote, choose File → Reduce File Size.
- Choose Reduce a Copy.
- Use View → Show Object List to find images and movies.
- Use Format → Arrange to judge each image by its placement.
- Duplicate a large source image and open it in Preview.
- Use Tools → Adjust Size only when its pixel dimensions are excessive.
- Use File → Export → HEIC at high quality for photographs.
- Use Format → Image → Replace in Keynote.
- Export oversized movies through QuickTime Player as HEVC at the needed resolution.
- Run Reduce File Size once more and present the result from start to finish.
