A Keynote presentation can look simple on screen and still occupy hundreds of megabytes. The slides are not usually the problem. Text, shapes, and transitions are comparatively small. The weight comes from the media behind them: camera-resolution photos, transparent graphics, screen recordings, audio, and pieces of an image or movie that are no longer visible but are still editable.
That behavior is not a mistake. Keynote is designed to preserve a high-quality, reversible working document. A photo does not become a small file merely because you drag its corners inward. A mask can hide most of an image without deleting those pixels. Trimming a movie can hide its beginning and end while leaving the source available for another edit.
We reviewed Apple’s current documentation, independent Keynote tutorials from MacMost, Macworld, and iDownloadBlog, a published workflow for image-heavy medical presentations, and discussions from people whose decks remained large after using Keynote’s built-in tool. The advice converges on one idea: reduce the media according to how it is actually used, and always keep the original deck.
Why Keynote presentations become enormous
1. Keynote keeps the media you add
Apple says Keynote keeps movies and images in their original format. If you place a 6,000-pixel-wide photograph into a small rectangle, the presentation may still contain the original high-resolution asset. Resizing the object on the slide changes its appearance, not necessarily the stored image.
This is useful while designing: you can enlarge, recrop, or reuse the photograph later. It is wasteful when the deck is finished.
2. Cropping and trimming are reversible
A mask changes which part of an image is shown; it does not automatically discard the rest. The same principle applies to the beginning or end you trim from audio and video. Apple’s Reduce File Size command has separate options to remove this unused data because it may otherwise remain in the presentation.
This can also be a privacy issue. A peer-reviewed article about radiology presentations warned that cropped image regions could remain retrievable from a presentation. If a hidden area contains confidential information, covering or masking it is not a safe redaction method.
3. A few videos can outweigh every slide
Video size is driven by duration, resolution, frame rate, codec, and content. A short ProRes or 4K screen recording can be larger than hundreds of ordinary slide images. Audio may add less, but long uncompressed or multichannel tracks still accumulate.
Older advice often recommends H.264 because it is widely compatible. Modern Keynote also offers HEVC, which Apple describes as providing its best video quality at the smallest file size, provided the devices playing the deck support it.
4. “More compatible” can mean “larger”
Keynote’s media-import settings matter. To support older devices, the app can convert HEIC images to JPEG or PNG and HEVC or ProRes video to H.264. Apple notes that HDR media may also be converted to SDR. Those settings affect media added from that point forward, not assets already in the deck.
Compatibility can be the right choice, but it is not free. An efficient source can become a larger legacy file, and a color conversion can change how HDR content looks.
5. File format and image content are mismatched
PNG is excellent for transparency, diagrams, logos, and screenshots with crisp edges. It is usually inefficient for photographs. JPEG and HEIC are efficient for photos, but aggressive settings can introduce ringing, block artifacts, blurred text, or color shifts.
The common advice to “convert every PNG to JPEG” is therefore too broad. Choose a format based on the image, not only its current extension.
Test Keynote’s built-in reduction—but do not trust it blindly
Keynote’s command is convenient, but it is a coarse, deck-wide operation rather than a quality-aware review of each asset. In real presentations it can make important images visibly softer while producing only a modest reduction in the complete file. Treat it as a baseline experiment on a copy, not an automatic win.
- Open the presentation and choose File → Reduce File Size.
- Select Scale down large images if the deck is at or near its final layout.
- Select Remove trimmed parts of movies and audio only if you no longer need to change those trims.
- For video, choose High efficiency (HEVC) when your playback devices support it, or Most compatible (H.264) when broad compatibility matters more.
- Set a movie resolution appropriate for the display you will actually use.
- Choose Reduce a Copy, not Reduce This File.
Apple warns that some combinations can make a file larger. The dialog shows an estimated result before you proceed, as iDownloadBlog’s walkthrough illustrates. That estimate measures bytes, not appearance, so treat it as a rough forecast and inspect the reduced result yourself.
Both MacMost and Macworld document this built-in route. Macworld’s menu names are now dated, but its essential caution still holds: duplicate the presentation and work on a copy. Effective optimization—including ShrinkNote—may remove trimmed media or surplus image resolution from the smaller output. The important protection is that the original remains untouched: Keynote offers Reduce a Copy, and ShrinkNote creates a separate optimized deck. Measure the actual saving and inspect demanding slides at normal size and at 100%. If the saving is small or degradation is visible, discard the reduced copy and optimize the few heavy assets manually.
If the deck is still large, optimize the media manually
Keynote’s one-click command has to make general decisions. A manual pass takes longer, but it gives you control over the images and movies that matter.
Resize images for their largest real use
First decide the maximum resolution at which the presentation will be shown. A full-slide image in a 1,920 × 1,080 presentation does not need all 6,000 pixels from a modern camera. An image that fills only one quarter of the slide needs fewer still. If the deck will be presented in 4K or viewers must zoom into the image, keep more.
Do not resize every image to one arbitrary number. A small logo, a full-bleed photo, and a detailed map have different requirements.
On a Mac, make a copy of the source image, open it in Preview, then:
- Choose Tools → Adjust Size.
- Keep Scale proportionally enabled.
- Enable Resample image.
- Enter pixel dimensions suited to the image’s largest placement and your maximum presentation output.
- Save or export a copy, then replace the original on the slide.

Use the right format

Preview can export images as HEIC, JPEG, PNG, and several other formats through File → Export; Apple documents the available choices here. Convert a copy and compare it at normal presentation size and at 100% zoom. A smaller asset is not a win if brand colors shift or type becomes visibly damaged.
Re-encode oversized video before importing it
Open the source in QuickTime Player and choose File → Export As. For 4K or 1080p exports, Smaller File Size uses HEVC while Greater Compatibility uses H.264. A 1080p export is often sufficient for a 1080p presentation; a video occupying a small portion of the slide may need less.
For more control, HandBrake can limit resolution and encode at constant quality. Its documentation explains why constant quality allocates more data to complex scenes and less to simple ones. Test a representative section before processing every movie.
After re-encoding, replace the movie in Keynote and verify playback, trims, poster frames, transparency, HDR appearance, and audio.
A sensible order of operations
- Duplicate the original deck. Never experiment on your only editable copy.
- Run Reduce File Size on a copy. Record the before-and-after sizes.
- Find the obvious heavy media. Long videos and camera-resolution photos are the first suspects.
- Resize by placement. Match pixels to the largest actual use, with headroom for the intended display.
- Change formats by content. Photos, screenshots, transparent graphics, and video need different treatment.
- Discard hidden media only when the design is final. Crops and trims will no longer be reversible.
- Open and present the reduced deck. Play every movie, inspect detailed slides, and export a PDF as a second check.
- Keep the original until delivery is complete.
What not to do
- Do not overwrite your master deck.
- Do not assume a visually small image is a small stored image.
- Do not convert every PNG to JPEG.
- Do not downscale every asset to the same fixed width or height.
- Do not use a mask or opaque shape to redact private information.
- Do not choose H.264 for a transparent video; Apple warns that its alpha channel becomes a black background.
- Do not judge quality only from the new file size. Check sharp edges, saturated colors, gradients, skin tones, and fine texture on the display you will use.
When a PDF is enough
If recipients only need to read the slides, a PDF may be easier to share than an editable Keynote file. It will not preserve builds, transitions, embedded playback, or the ability to edit slide objects, so it is a delivery alternative—not a smaller replacement for your working deck.
The short version
Keynote files become large because they are working documents, not flattened slide images. They can retain high-resolution sources, hidden crop areas, trimmed media, and compatibility copies. The best manual reduction is conservative: make a copy, use Keynote’s built-in estimate, resize media according to real placement, use efficient formats without flattening every asset into the same codec, and verify the result as a presentation.
